In this role as a Senior Team Coordinator / Executive Assistant, you will support the General Manager, Major Projects, Victorian Contestable Transmission with executive co-ordination and assistance. You will also support the Major Projects, Victorian Contestable Transmission Leadership Team in achieving high quality delivery systems, processes and outputs across a range of project streams, supporting project control, co-ordination and project administration tasks.
This role is based in Melbourne and is part of the Major Projects, Victorian Contestable Transmission Team.
This role will deliver real outcomes, including but not limited to:
- Maintaining and ensuring approvals of documents are flagged, followed up and actioned according to timelines for both internal and external requests. Flow of efficiency and no backlog is essential.
- Review and prepare confidential reports, correspondence and presentations using the suite of applications, ensuring high quality and consistent messaging and reporting.
- Managing third party project correspondence, including complaints and external correspondence, and internal reports and project management reports, including dashboard, presentation and minutes.
- Management reporting via document control team, i.e. full accountability for maintaining records on key management communications, reports and external party engagement documents, including storing documents and version control.
- Preparing agendas and minutes for key internal project management meetings and periodic external stakeholder meetings as requested.
- Tracking and collating all the inputs required for internal and client progress reports, preparing the templates, formatting the reports, and issuing to the right recipients.
- Diary and meeting management, email management, minute taking and preparation in support of the General Manager.
- Supporting the management of accounts authorisation, processing purchase orders and invoicing, including liaison with the Commercial Manager and the Financial Controller.
- Creation and management of program documentation (i.e. contact lists, distribution lists, org charts, presentations etc.).
- General administration tasks as required by the Major Project Directors, other General Managers and Executive General Manager of business unit., i.e. organising workshops and key events, preparing collateral meeting materials, creating diagrams, org charts, slides, venue hire and catering, etc.
- Organising meetings, ensuring right resources are invited, rooms are booked, agendas are prepared, minutes are taken, and actions are recorded and tracked properly.
- Point of contact for the Major Projects team (for General Manager portfolio) for both internal and external queries.
You don’t need to check every box; however, we are looking for a good combination of:
- Demonstrated experience in supporting and co-ordination functions for projects and project management teams
- Delivery of high-quality reporting, documents, minutes and agenda
- Ability to effectively work independently, solve problems and demonstrate proactivity
- A high level of organisational skills and demonstrated effectively handling multiple tasks, setting priorities, managing timeframes and meeting deadlines under pressure
- Experience in coordinating meetings and preparing associated documentation and packs
- Proven Experience working in a Senior Team Coordinator/Executive Assistant/Project Co-ordination role
- Excellent understanding of and expertise in standard office software such as Outlook, Word, Excel, and PowerPoint. Experience using SAP and SharePoint considered favourably
- Organisational skills with the ability to deliver on a range of tasks for various stakeholders with tight deadlines
- Strong customer focus and a continuous improvement mindset
